Responsibilities

  • Support Studio with all administrative needs, including scheduling of meetings, answering phones, travel arrangements, expense reports, correspondence, etc.
  • Assist studio leadership with operational aspects of running the studio including but not limited to organizing studio meetings, staffing, financial tracking, timecard collection, PTO tracking, proposal/presentation preparation.
  • Tracking calendars, budgets, and expenses.
  • Consistently provide a high level of customer service to staff, clients, vendors, business partners and guests while at times, being the client interface.
  • Meeting coordination, documentation, and conference room reservations, as needed. 
  • Be willing and able to answer the phone and complete filing, typing, scanning, copying, printing, organizing files, decluttering spaces, etc. as needed.
  • Assist in helping to maintain a clean and professional work environment.
  • Monitor inventory of office supplies and place orders for timely delivery.
  • Promote office culture by planning studio retreats, outings, and celebrations.
  • Support office management as needed such as coffee bar maintenance and distributing mail.

Qualifications

  • Minimum 5 years of experience in professional administrative position supporting senior leadership
  • High level of proficiency with Microsoft Office (including SharePoint)
  • Adobe Suite/In Design experience a huge plus
  • Excellent communicator
  • Ability to interact professionally with all levels of the firm, clients, and subcontractors
  • Ability to prioritize business responsibilities
  • Positive attitude, willingness to “go the extra mile”
  • Ability to work independently with minimal guidance
  • Must be available for overtime on an as-needed basis
