Executive Business Partner to the CEO

We are looking for a strategic, detail-oriented Executive Business Partner to provide dedicated support to the CEO. You will hold cooperative responsibility for executive communications, perform a broad set of analysis in the responsibility areas highlighted below, evaluate priorities in real time, assist with and oversee planning, and take ownership of time allocation and calendaring. You will be the go-to resource for the team, ensuring the company is on path with the CEO’s roadmap, escalating urgent matters. You will work closely with the Chief of Staff to coordinate across functional groups, all while keeping a good pulse on the organization's health and morale.

You will be working in a fast-paced startup environment with passionate team members who are focused on velocity, quality of results, and execution excellence.


Range of Responsibilities

Communications:


  • Serve as the face of PassiveLogic on behalf of CEO; help him build great relationships with internal stakeholders and external contacts.

  • Manage email and social media communication for CEO.

  • Maintain and coordinate strategic workflow, targets, and correspondence threads with investors, partners & customers.

  • Interpret technical customer and employee communication. You must distill technical details and manage key action items. We are pretty nerdy, and you need to be highly curious…and at least a little bit nerdy too.

Analysis & Information Design:


  • Be a data-driven research resource for CEO. Gather, distill, and organize information and reports.

  • Manage CEO feedback loop. Ensure CEO agenda is being met, manage company dashboard, ensure team issues are escalated when needed.

  • Manage a cycle of strategic planning, goal setting, and progress tracking.

  • Collect and analyze information to prepare reports and briefing documents that prep CEO for meetings.

Management:


  • Be involved in high-priority project work, dependent on organizational needs.

  • Coordinate with Chief of Staff on company-wide projects and events.

  • Manage a cycle of strategic planning, goal setting, and progress tracking.

  • Own various group-wide meetings, manage agendas, and track outcomes.

Assistant:


  • Manage CEO's calendar. Own and execute complex, multi-day travel itineraries and provide critical updates in a professional and timely manner.

  • Wrangle CEO and organize time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications.

  • Take a wide variety of select tasks from the hands of the CEO, extending his bandwidth.

Requirements

  • 5+ years of experience as a Business Analyst, Business Partner, Executive Assistant or Chief of Staff

  • You should have startup or early-stage rapid scaling experience

  • Business, communications, or equivalent MBA / B.A / B.S degree

  • Skilled in moving quickly and making on-the-spot decisions without sacrificing attention to detail

  • Expertise in juggling multiple projects and priorities at once

  • Ability to take action without being asked, while also understanding when it is necessary to get guidance

  • Proven track record of consistently going above and beyond

  • Strong Keynote (powerpoint), spreadsheet, and e-mail/calendar skills; MacOS applications experience a major plus

  • Exceptional communication skills and the ability to work effectively with a spectrum of personalities

  • Ability to maintain composure and sense of humor in high-pressure situations

  • Receptive to and encouraging of receiving constructive feedback
